AI agent for the shared inbox
It reads the messages in shared inboxes, classifies them, assigns them to the right person and prepares a draft reply. Nothing goes out without a review.
Illustration with sample data
Read by everyone, handled by no one.
- Shared inboxes with hundreds of messages, read by everyone and handled by no one.
- Sorting email takes the first hour of the day for several people.
- Important messages get lost among newsletters, suppliers and notifications.
First we understand how you work.
Every department has its own rules about who answers what. We map them with the people who sort the mail today, before handing them to an agent.
Which inboxes and messages
info@, orders@, accounts@: what arrives, in what volumes, in which languages.
Who answers what
The assignment rules between departments, including the unwritten ones.
With what information
Standard replies, procedures, terms, order status in the ERP.
An example: how the agent works, in four steps.
Every agent comes from your process. This is how the work is usually split: steps, checks and rules change from company to company.
- 1
Reads
Every message and its attachments, as soon as it arrives.
- 2
Classifies
It recognises the type of request and its priority: complaint, order, invoice, information.
- 3
Assigns
It sends it to the right person or department, with a two-line summary.
- 4
Drafts
It writes a draft reply with your company's information. A person reviews and sends it.
Whoever replies is still a person.
The agent sorts and prepares. Replies to customers are reviewed and sent by the person responsible.
Stays with people
- Replies to complaints
- Messages outside the rules
- The final send
It connects to what you already use.
You do not change tools, and the people you work with keep working as they do today.

Before you ask.
Does it work with Outlook and Gmail?
Yes. It connects to Microsoft 365, Google Workspace and IMAP mailboxes, including shared ones.
Can it reply on its own?
Only for the requests you decide, such as an acknowledgement. For the rest it prepares drafts a person approves.
Does it read attachments?
Yes: PDFs, documents, spreadsheets and images. It extracts what the recipient needs.
Does our email leave the company?
Processing happens in European environments with controlled access. The models are not trained on your messages.
Other examples.
These are the cases we see most often, not a catalogue. If your process is not here, we start from it.
- Order managementThe agent reads the order, recognises the customer and the items, checks prices and availability and enters it. People only look at the doubtful cases.
- QuotesThe agent finds similar past quotes, proposes items and prices and prepares the draft. Sales reviews and signs it.
- Customer serviceAn assistant handles first-level requests, by voice too, with your company's information. When a person is needed, it hands over the call with a summary.
- Back-office administrationThe agent enters documents, matches payments and invoices and flags only the differences. Reminders go out in the tone you choose.
- Reports and minutesA voice note and a few photos are enough. The agent writes the report in your company's format and files it where it belongs.
- Your processNot on this list? That is the most common case: we start from how you work today.
Your process is not on this list?
That is the most common case. In the first call you tell us how you work today: we tell you whether an agent makes sense, where we would start and what you need to begin. Even when the answer is no.
