AI assistant for customer service
It answers first-level requests by phone, chat and email, with your company's information. When a person is needed, it hands the customer over with a summary.
Illustration with sample data
The same questions, all day long.
- The same requests arrive dozens of times a day: opening hours, order status, documents.
- On busy days the phone rings unanswered and the customer calls back, or does not.
- The answer depends on who is free, and not everyone knows the same things.
First we understand how you work.
Before an assistant talks to your customers, we listen to how you answer today: the real requests, the words you use, the cases where a person is needed.
Which requests arrive
By phone, email, chat and WhatsApp. Which repeat and which really need a person.
Where the answers are
Procedures, price lists, product sheets, terms of sale, order status.
Who takes over
Who handles what, at what times, with what information.
An example: how the agent works, in four steps.
Every agent comes from your process. This is how the work is usually split: steps, checks and rules change from company to company.
- 1
Listens
It understands the request, spoken or written, in natural language.
- 2
Searches
It finds the answer in your company's information and connected systems.
- 3
Answers or hands over
It handles first-level requests. When a person is needed, it alerts them with a summary of the conversation.
- 4
Records
It saves the conversation and a note in the CRM, so nobody has to ask again.
People look after customers, not the switchboard.
The assistant takes the repetitive requests. The people who work with customers focus on the cases that need attention, with the context ready.
Stays with people
- Complaints and sensitive situations
- Requests outside the rules
- Commercial decisions
It connects to what you already use.
You do not change tools, and the people you work with keep working as they do today.
- Your switchboard and numbers
- WhatsApp Business
- CRM
- ERP
- Procedures and documents
Before you ask.
Does the customer know they are talking to an AI assistant?
Yes, it says so at the start of the conversation. It is an AI Act requirement and a matter of respect for the caller.
Do we have to change our phone system?
No. The assistant connects to the numbers you already use. It can answer always, only out of hours, or only when lines are busy.
What if it does not know the answer?
It says so and passes the request to a person, with a summary of what the customer asked.
What does it sound like?
A natural voice, chosen with you. Words and tone follow the way your company talks to customers.
Other examples.
These are the cases we see most often, not a catalogue. If your process is not here, we start from it.
- Order managementThe agent reads the order, recognises the customer and the items, checks prices and availability and enters it. People only look at the doubtful cases.
- QuotesThe agent finds similar past quotes, proposes items and prices and prepares the draft. Sales reviews and signs it.
- Back-office administrationThe agent enters documents, matches payments and invoices and flags only the differences. Reminders go out in the tone you choose.
- Email managementThe agent classifies every message, assigns it to the right person and prepares a draft reply. Nothing goes out without a review.
- Reports and minutesA voice note and a few photos are enough. The agent writes the report in your company's format and files it where it belongs.
- Your processNot on this list? That is the most common case: we start from how you work today.
Your process is not on this list?
That is the most common case. In the first call you tell us how you work today: we tell you whether an agent makes sense, where we would start and what you need to begin. Even when the answer is no.
The products we use here
If AI is not the right answer for your case, we will tell you.
A 30-minute call about a process that costs you time today. We tell you what we would do, and what we would not.
